How to Approve User Access Request via Email

This article will guide you on how to enable the option to approve app access request sent to Supervisor via Email.

Prerequisites

Before following the instructions on this article, please make sure that you:

  • Have already setup SMTP setting on the Safous Admin portal. Please refer to this article for more details regarding the topic.
  • Have at least 2 users, each with specific role as:
    1. Direct Supervisor or Policy Supervisor
    2. Supervised user
  • Have set enrollment by email for the Supervisor account. Please refer to this article for more details regarding user enrollment by using email.

Approving Access Request via Email as Direct Supervisor

  1. Login to Safous Admin portal.
  2. Navigate to Settings > ZTNA > Users
  3. Assign a direct supervisor for the supervised user. Please refer to the articles mentioned in the prerequisites for more details.
  4. Login to your tenant's user portal (e.g. https://login.<tenant>.ztna.safous.com) with the supervised user's credential.
  5. Supervised user's access to the user portal will need to be approved by their direct supervisor.
    • Supervised user POV:
      The user will continue to stay on the waiting page until they got an approval by the supervisor.
    • Supervisor POV:
      Supervisor will receive an email containing the access approval request of the supervised user. 
  6. Supervisor can approve the access request simply by clicking on the approve button displayed in the email, then a new tab will open that display "Login Was Approved For supervised user"

  7. After access is approved by supervisor, the supervised user can access the user portal.

Approving Access Request via Email as Policy Supervisor

  1. Login to Safous Admin portal.
  2. Navigate to Settings > ZTNA > ZTNA > Policies
  3. Assign a supervisor to a policy. Please refer to the articles mentioned in the prerequisites for more details.
  4. Login to your tenant's user portal (e.g. https://login.<tenant>.ztna.safous.com) with the supervised user's credential.
  5. Once logged in, when the supervised user tries to access to an application listed in the supervised policy, they will be asked the reason why they need to access the app. Select one of the available options, then click continue.
  6. The request for access will need to be approved by the policy's supervisor.
    • Supervised user's POV:
      The user will continue to stay on the waiting page until they got an approval by the supervisor.
    • Policy Supervisor's POV:
      Supervisor will receive an email containing the access approval request of the supervised user.
  7. Supervisor can approve the access request simply by clicking on the approve button displayed in the email, then a new tab will open that display "Access Was Approved For supervised user".

  8. After access is approved by supervisor, the supervised user can access the application.
